How to Compress a PDF to Under 200 KB (Without Making It Unreadable)
Many websites and email systems reject files above a size limit, and a scanned PDF can easily be several megabytes. If you need a PDF under 200 KB, there is no magic setting, but there is a reliable order of steps that gets most files there without making them unreadable.
1. Remove what you do not need
Every page adds weight. Delete blank pages, cover sheets and duplicates with Delete PDF Pages, or pull out just the pages you need with Extract PDF Pages.
2. Try the lossless clean-up first
Open Compress PDF and choose Lossless clean-up. It rewrites the file structure and keeps text selectable and searchable. For PDFs that were exported from Word or a design tool the saving is often small, and some files will not shrink at all, but it costs you nothing in quality.
3. Use image-based compression for scans and photo-heavy files
If the clean-up is not enough, choose Image-based. This turns each page into a picture, which gives much bigger savings. You can set the resolution to 72, 100, 150 or 200 DPI and the JPEG quality.
- 150 DPI is a good balance for reading on screen and printing drafts.
- 72 to 100 DPI gives the smallest file when you only need to read it on screen.
- Lower the JPEG quality step by step and compare the new size each time, until you are under your limit and the text is still easy to read.
The trade-off is real: after image-based compression the text can no longer be selected or searched, and links are lost. Keep the original file for yourself.
4. Split a big document instead
If a document still will not fit, divide it with Split PDF into two or three parts and send them separately. This keeps full quality when a recipient accepts several attachments.
5. Scan smarter next time
- Scan documents at 150 DPI or lower, in black and white or greyscale, unless colour matters.
- Use a scanning app that crops the page to the paper edges.
- Save photos as JPG rather than PNG before you turn them into a PDF with JPG to PDF, and shrink big photos first with the Image Compressor.
Your file stays private
Toolysite runs these PDF tools in your browser, so the file is not uploaded to a server while you compress it. That matters for contracts, IDs and bank statements.
If you still cannot reach 200 KB
Very long documents full of photographs may simply be too big at readable quality. In that case reduce the number of pages, lower the resolution a little more, or ask the recipient for a higher limit or an upload link.
